Triage when a band invite never lands in the invitee's inbox.

Invite email not arriving

You sent an invite. They say they didn't get it. Here's the triage.

1. Confirm the invite was actually created

Open Band settings → Pending invites. Is the invite still there?

  • Yes, pending — the row was created; the email failure is the question. Continue to step 2.
  • Yes, accepted — the invite went through. They might already be on the band. Switch to your band's member list to verify.
  • No row at all — the invite never created. Possibilities:
    • The send form returned a 502 (Resend down). The form should have shown an error toast — try again.
    • Permissions: only owners/admins can invite. If you're a member-level, the form returned 403.

2. Check spam, then check it again

Resend's reputation is good but the first invite to any new address occasionally lands in spam. Have the invitee:

  • Search for "Loadout" or "hello@loadout.band" in their inbox AND spam folder
  • Whitelist hello@loadout.band for future emails

Confirm with them that they searched both inboxes before you do anything else. This is by far the most common explanation.

3. Try Resend

In the pending invites list, click Resend on the row. The same token is re-emailed (no new row created). The invitee gets the same accept-link as before.

There's a rate limit: 3 resends per invite per hour. After that you'll see an error — wait an hour and try again.

4. Check the address for typos

drummer@gmail.con doesn't bounce in any helpful way for either side. Click the invite row to see the email address you used. If it's wrong:

  • Revoke the bad invite (the link will stop working).
  • Create a new invite with the correct address.

5. Confirm Resend isn't down

If multiple invites to different addresses all aren't arriving, the issue is on Loadout's send side, not anyone's inbox. Possibilities:

  • Resend API outage — rare; check their status page.
  • Loadout's RESEND_API_KEY secret missing or rotated. The invite API now returns 502 if Resend send fails (per #136), so you should see an error toast — but if you're seeing success toasts and no emails landing anywhere, something's been silently swallowed. Contact support.

6. The invite expired

Pending invites are valid for 14 days. If yours is older than that, the invitee will click and see "Invite expired." Hit Resend — that re-extends the expiry from now.
